President
- Serve on PTSA Executive Board
- Appoint Boosters Committee Chairs
- Chair the Boosters Executive Committee
- Schedule and preside over regular meetings
- Coordinate with Athletic Director and Administration
- Work with the Chair of each committee to ensure smooth operations
- Represent the Boosters at various school events, such as PTSA meetings, sports awards ceremonies, and other events as appropriate.
Vice-President
- Serve as team/coach liaison. This includes the following:
o Work with AD and coaches to obtain team rosters.
o Attend parent meetings as Booster representative.
o Work with coaches to identify team needs (equipment, coordination of events, etc.)
o Recruit parent liaison from each team. Parent liaisons will coordinate volunteer announcers for stadium games and reporting of scores to newspapers.
o Serve as back-up to the President.
Secretary
- Record and publish meeting minutes (including posting to website).
- Prepare meeting agendas and handouts, as needed.
- Update the athletic handbook annually to reflect any changes in personnel, forms, or other content.
Treasurer
- Collect and deposit monies from concession stand sales.
- Keep concession stand cash box stocked with adequate change.
- Manage and track income and expenses re: individual teams' Booster accounts.
- Make payments as required to the various vendors (Pepsi, etc.).
- Issue expense reimbursements as requested and approved for items that parent volunteers, the Athletic Director, or coaches purchase out-of-pocket.
COMMITTEES
The following standing committees will manage the various aspects of Booster activities. The President will appoint the Chair of each Committee, who will then recruit committee members. The standing committees are:
Concession Stand Operations Committee
- Monitor concession stand supplies and purchase/order supplies when needed
- Organize fall and spring concession stand preparations for opening (indoor/ outdoor).
- Create instruction sheet for concession stand volunteers (opening/closing the concession stand, operating the equipment, etc.).
Special Events Committee
- Coordinate preparations for Sports Awards Ceremonies (invitations, programs, food, slide-show, etc.)
- Coordinate preparations for other special events as necessary.
Volunteer Coordination Committee
- Recruit and coordinate concession stand volunteers
- Schedule volunteers as necessary for regular games as well as special events (such as MCPS-wide competitions) .
- Ensure new volunteers are trained/paired up with an experienced volunteer
Communications & Outreach Committee
· Create and maintain an athletics website
· Arrange for distribution of the athletics handbook
· Public relations - publicize special events, need for volunteers, other items
· that should receive publicity.
· Organize parent outreach (special programs, workshops, information sessions, etc.)
EXECUTIVE COMMITTEE
The Executive Committee will be comprised of the President, Vice-President, Secretary, Treasurer, and the Chair of each Committee. The Executive Committee will work together to oversee and all aspects of Booster Club operations.
